About the role
The Economic Commission for Africa (ECA) is seeking two Communications Assistants to support visitor and guided‑tour operations within the Publications & Conference Management Section in Addis Ababa. Reporting to the Head of the Conference Planning & Coordination Services Unit and directly supervised by the Associate Public Information Officer, the role ensures smooth, high‑quality experiences for all visitors, including VIPs, diplomats and group leaders.
Key responsibilities
- Create and manage daily and weekly guided‑tour schedules, handling logistics and real‑time adjustments.
- Provide operational guidelines, conduct briefings and address interpersonal issues to maintain consistent service standards.
- Serve as the primary contact for all visitor types, resolving inquiries and grievances while protecting the institution’s brand.
- Monitor guide performance and enforce adherence to organizational rules, ethics and professional standards.
- Coordinate high‑priority assignments such as VIP visits, "UN Kids" programs and special‑request tours, including scheduling, material preparation and staff assignment.
- Collect visitor feedback and collaborate with the Marketing team on service improvements.
- Manage digital and manual visitor‑interface systems, including distribution and maintenance of tour equipment like headphones.
- Liaise with IT, Facilities Management Services and security teams to ensure seamless operations.
