Purchasing Officer I

About the role

The Purchasing Officer I will support the organization by managing the procurement of spare parts and other supplies. You will ensure that purchase requisitions are accurate, approved, and translated into purchase orders that meet pricing and delivery requirements. This role works closely with maintenance planners, warehouse staff, and accounts payable to maintain optimal inventory levels.

Key responsibilities

• Review incoming purchase requisitions for accuracy, proper approval hierarchy, and clear technical specifications.
• Validate spare‑parts requests against equipment manuals and bills of materials to confirm correct part numbers.
• Convert approved requisitions into formal Purchase Orders in the ERP system, capturing pricing, delivery terms, and manufacturer codes.
• Transmit Purchase Orders to suppliers, obtain order acknowledgments, and verify price and delivery dates.
• Collaborate with maintenance planners and warehouse personnel to monitor stock levels and replenishment needs.
• Work with Accounts Payable to perform the three‑way match (PO, receiving log, invoice) and resolve billing discrepancies.
• Coordinate with warehouse and inventory teams to track stock counts and update replenishment timelines.

Required profile

• BA/Diploma in Purchasing, Supply Chain Management, or a related field.
• Minimum of 2 years of relevant procurement experience.
• Preferably experience in spare‑parts purchasing.

Required skills

• Proficiency with an ERP procurement module.
