Contractor Operations Specialist

About the role

Kagool is seeking a proactive Contractor Operations Specialist to oversee the full lifecycle of its global contractor workforce. You will work across the UK, UAE, USA, Ethiopia and other locations, ensuring accurate onboarding, timesheet management and invoice processing.

Key responsibilities

• Issue contractor agreements, NDAs and onboarding documentation.
• Coordinate onboarding and induction materials for new contractors.
• Manage contractor timesheets, invoice submissions and reconcile them against productivity hours and project activity.
• Support month‑end invoice closure, payment approval workflows and track invoice status.
• Liaise with contractors, project managers, Finance and senior stakeholders to resolve queries.
• Maintain accurate contractor records across multiple countries.
• Identify process gaps and improve onboarding, invoicing and approval procedures.
• Assist with audits and ensure strong governance of contractor costs and productivity.

Required profile

• Highly organised with the ability to manage multiple deadlines.
• Strong Excel skills for tracking, reconciliation and reporting.
• Comfortable working across different countries, teams and time zones.
• Confident in following up managers and contractors for missing information or approvals.
• Able to spot discrepancies in timesheets, invoices and working hours.
• Professional handling of payment, invoice or contractor queries.
• Process‑focused and proactive, always looking for improvements.
