About the role
The Senior Secretary provides high‑level administrative support to the Deputy General Manager – Operations and the department managers reporting to him. Based in Addis Ababa, the role is full‑time and on‑site, ensuring smooth office operations and effective communication across the organization.
Key responsibilities
- Assist the DGM – Operations and department managers with clerical and secretarial tasks.
- Take oral dictation, transcribe and type correspondence, reports, articles and meeting minutes with high accuracy.
- Sort incoming mail, manage outgoing correspondence for signature, and expedite matters to relevant departments.
- Receive visitors, answer telephone calls, clarify business queries and schedule appointments according to the DGM’s workload.
- Maintain confidential files and records of correspondence and other materials.
- Prepare periodic reports and ensure any food‑safety management system issues are reported to the supervisor and quality personnel.
- Monitor compliance with local, national and international environmental regulations and support the implementation of reduction targets for water, waste, energy and emissions.
Required profile
- Minimum 6 years of relevant secretarial or administrative experience.
- Diploma in Secretarial Science, Office Management or a related field.
- Strong communication, customer‑service and organizational abilities.
- Proven capacity to manage multiple priorities while handling sensitive information confidentially.
Required skills
- Proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
