Senior Import/Export Documentation Officer

About the role

We are expanding our international trade operations and need a senior professional to oversee all documentation for coffee export and related import activities. The role ensures shipments are accurate, compliant and delivered on time, working closely with logistics partners, customs authorities and internal teams.

Key responsibilities

• Prepare, verify and manage export/import documents such as commercial invoices, packing lists, certificates of origin, bills of lading, letters of credit and phytosanitary/quality certificates.
• Ensure compliance with Ethiopian customs regulations, ECX/ECTA requirements and destination‑country import rules.
• Coordinate with freight forwarders, shipping lines, clearing agents and banks to guarantee timely processing of shipments.
• Handle Letter of Credit documentation and liaise with banks on trade finance matters.
• Track shipments end‑to‑end, resolve documentation discrepancies and maintain accurate records for audits and regulatory reporting.
• Stay updated on changes to trade regulations, tariffs and customs procedures and support documentation for new market entries.

Required profile

• Minimum 3 years of experience in import/export documentation, trade compliance or logistics coordination.
• Strong knowledge of Ethiopian customs procedures and L/C processes; experience with ECTA is a plus.
• High attention to detail and ability to work under shipment deadlines.
• Excellent communication skills for interaction with banks, agents, customs offices and internal teams.
